Ten Bills Most Owners Overpay
An honest checklist of where small-business money quietly leaks out every month.
Nobody opens a business to read bills. That’s exactly why so many of them creep up. Set aside one afternoon, pull your last three months of statements, and go down this list.
1. Card processing fees
Look past the headline rate. Check for monthly minimums, “non-qualified” surcharges, statement fees and terminal rental charges. Ask your processor for a plain total of what you paid last month, divided by what you processed. That number is your real rate.
2. Equipment you’re still renting
Many owners are still paying monthly rent on a card terminal, a phone system or a water cooler they could have bought outright years ago. Check every line that says “lease” or “rental.”
3. Phone and internet
Plans age quickly. Prices drop and promotions end. If you haven’t reviewed your business phone and internet plan in two years, you’re probably paying for an old deal. Get a fresh quote and compare it line by line.
4. Software subscriptions
Scheduling apps, design tools, email tools, a second accounting program nobody opened since 2022. Pull up every recurring charge on your card and ask, for each one: who uses this, and when did they last log in?
5. Insurance you haven’t shopped
Policies renew automatically, and premiums tend to rise with them. Ask an independent agent to quote your coverage once a year. Make sure you’re comparing the same coverage, not just the same price.
6. Waste you can’t see
Food that’s thrown out, materials that are over-ordered, inventory nobody’s counted. Track it for two weeks. Most owners are surprised.
7. Bank fees
Monthly maintenance fees, wire fees, deposit fees. Many banks and credit unions have business accounts without most of these. Ask.
8. Utilities
Ask your utility about a free energy assessment for businesses, and check that you’re on the right rate for your hours. Swapping to LED lighting and fixing a leaking compressor pay for themselves.
9. Marketing that isn’t working
That listing site, the coupon book, the “premium” directory placement. If you can’t connect it to a single customer, pause it for a month and see whether anything changes.
10. Late fees and interest
Small penalties add up. Put every bill on autopay or a calendar reminder, and pay attention to any card or loan you’re carrying a balance on.
Do this once a year and it becomes a one-afternoon habit. The money you find goes straight back into the business.
